Student Add

Use bus route information provided by transportation to determine if student’s address qualifies for riding bus. If student qualifies to ride bus, enter Bus Route To and From School.
If the school does not use the Locker screen, the Locker Number can be entered here. If using the Locker screen, the locker information is in a separate grid at the bottom of the tab.

The IVEP, or Individualized Vocational Education Program, list could either list the reason for the student’s IVEP participation based on the 6 types or the program offered to the student. Specific program participation is recorded for upload to the state in the Student Needs screen in the Student Programs folder.
Whether or not the student’s parents Allow Medication to be given to their student can be recorded.
If the student has parental permission to receive Tylenol from the nurse check Allow Tylenol.
Check Extended) Learning Program, or Vocational program, if the student participates.
If the record has recently been modified, the Has Changed Flag can be checked. This is not automated.
Select from provided check boxes all items that apply to this student.
Enter Counselor. If elementary school, provide teacher’s name.
Click at the top of the screen if finished.

Other Information

Click Custody and select to indicate if there is a sensitive custody issue regarding the student. This sets the Custody! notification at the top of the screen.
The Expected Graduation Year, Original Enter Date, Original Enter Code, Original Enter Grade, and Final Withdrawal Date may be edited/entered here..
The student’s Immigration Date to the United States may be recorded here.
Click the Psych Records and select Yes or No to indicate whether the student has psychological records on file.
The Special Ed Screening Date can be recorded here. Other special education information is recorded in the Special Ed Student Services screen in the Student Programs folder.
The Family Code indicates the family structure, and the type of living situation for students is set in Dwelling Type .
The student’s Social Security Number can be recorded.
Select from provided check boxes all items that apply to this student.

There are boxes indicating if the student is a US Citizen, or should be excluded from the school directory (Directory List Exclude). Additional checkboxes are available to indicate if the student is a Refugee, has a Chronic Illness, is a Migrant, lives in a Foster Home, or if their family has the Excessive Debt Indicator.
If the student has earned or is seeking a GED, the General Equivalency Diploma checkbox can be checked.

Make a selection from Has Internet At Home , if known.
The assigned guidance counselor or advisor can be selected.

Click next to Counselor Name. The Find: Staff screen displays.
Enter partial or complete data on any field.

OR

An asterisk (*) wildcard can be used as a substitute for any or all characters in fields on the screen.

Click or press ENTER. Search Results displays a list of records matching criteria entered.
Click anywhere on appropriate staff name to highlight.
Double click or click . The Find: Staff screen closes and the staff name displays.

ELL Code and ELL Date can be recorded here, or in the English Language Learners screen in the Student Programs folder.
Additional student citizenship information is recorded in Country of Citizenship and Non Citizen Type.
The current School, Homeroom, and Teacher is displayed again to provide help in finding students and creating lists.
Check Indian Education if the student is receiving this specialized instruction.
Click the Tribal Community and select.
Enter the Tribal Enrollment Number.

Click at the top of the screen if finished.

Enrollment Restrictions and Exceptions

If the student is restricted in their enrollment options, click Enrollment Restriction and select.
Enter the Enrollment Restriction Date, or click and select the date, through which the restriction is in effect.

When a student is enrollment restricted, a transfer to a school that is excluded is blocked with the message “Student has an enrollment restriction and cannot be enrolled in this school.”

If the restriction is specific to a type of school, indicate by clicking School Type Include/Exclude and selecting either to exclude or include.
Check the appropriate School Type Exceptions.
Click at the top of the screen if finished.

Organization Exceptions

Specific organizations can either be included or excluded from the enrollment restriction, also.

For example, if the student has a restriction but a school is included in the Organization Exceptions, that is the only school in which the student may enroll. A notification will display to alert the restriction.

To include or exclude an organization:

Click on the Organization Exceptions bar.
Click under Organization Name. The Find: RevOrganization screen opens.
Enter partial or complete data on any field.

Click or press ENTER. Search Results displays a list of records matching criteria entered.
Click anywhere on appropriate staff name to highlight.

To delete the organization exception, check on the line of the organization desired and click .

Next Year

Following the New Year Rollover, Year End Status, Next Grade Level, and Next School will be populated.

Registration

If known, enter the Registration Last date, or click and select the date.
Check if Registration Received.
Enter the Significant Student Data Change date to record that there have been major changes to the student's record on a particular date.
Click at the top of the screen if finished.

Summer School

Click Summer Grade Level and select, then click Summer School and select the location, to update that information.
Click at the top of the screen if finished.

Authorization

If the student is not allowed to be photographed or interviewed, select the value from the Deny Photo/Interview list.
If the student and/or their parents have received the Absence Reporting Policy and Statement of Awareness, check these boxes.
The status of the parent’s authorization for the student to use the Internet at school can be set in the Internet Authorization list.
Click at the top of the screen if finished.

User Codes

Synergy SIS features several fields that can be customized for district use. The User Code and User Num fields can be set to either drop-down lists or text/numeric boxes. The labels for each box can be customized.
Notes can store free-form text about other student information.

Prev Year

The Prev Year section records the student’s previous school information if the student’s previous school was outside the district.

Enter Prev School Entity ID.
Enter the Student ID Generated by Prev School.
Click Prev State Code and select the state where the previous school is located.
Click at the top of the screen if finished.

Transportation

The Transport Code indicates the student’s eligibility for district-provided transportation.
Enter the Transportation Request Date, and the Transportation Start Date or click and select the dates.
Click at the top of the screen if finished.

Pick Up and Drop Off Information

In the Pick Up Information section:

Select the Transportation Type (bus, van, etc.).
Enter the Bus Route number and Bus Stop location, if appropriate.
Enter the Pick Up Time. It is only necessary to enter numerals. Synergy SIS formats the field once entered, i.e. 900 formats as 9:00 AM.
Click Pick Up Location Type and select (front door, curb, etc.).
Complete the address information for the pick up.
Additional details may be added in the Comment section regarding special instructions.

Click to spell check.

Click to open a browser window that displays a map of the address, if desired.
If the student is not eligible for transportation, the reason the exception was made can be documented by selecting from the Transportation Reason Code . Then enter the Transportation Reason Date or click and select date.
The person responsible for getting the student to the pick up point should be listed as Responsible Person with their Phone number.
Complete the Drop Off Information section in the same fashion.

Special Transportation Requirements

Check the Transportation Requirements that are appropriate. Click to select all items in the Special Transportation Requirements box. Click again to deselect.
Enter any Special Requirements Comment for additional details.

To enter Transportation Logistics Information

Click next to Special Program Teacher. The Find: Staff screen displays.
Enter all or part of teacher Last Name, First Name.
Click or press ENTER. Search Results displays a list of matching criteria.
Click line of staff name. Line highlights.
Double click line or click . Find: Staff screen closes and the Special Program Teacher name and Primary Phone display.
Enter the School Start Time and School Dismiss Time, the Next School of Attendance (if the student attends a separate school after the district school), and the name of the person who completed the transportation form in Form Completed By.
Click at the top of the screen if finished.

Additional Addresses

Additional Addresses can display if the student is picked up or dropped off at any other locations. This can be helpful for students who may go to a day care or a vocational setting.

Click on the Additional Addresses bar. A line is added to the grid.
Enter the address information as was done above.
Check the Transportation Days for this address.
Click .
Click . The detailed view displays on the right.
Additional details may be added in the Comment section regarding special instructions.

Graduation Information

The student’s graduation information and post-secondary plans can be saved here.

This includes the student’s actual Graduation Date and Graduation Status, and their Expected Graduation Year (or Cohort Year). Post Secondary can indicate plans such as college, work, or other. The selections are customized by your district.
Click at the top of the screen if finished.

Lockers

The Lockers section records the student’s locker assignment if the district is using the Locker screen. While lockers can be mass assigned, an individual assignment can be made here.

Click on the Lockers bar. The Chooser screen opens.
Enter partial or complete data on any white field.
Click or press ENTER. Search Results displays a list of records matching criteria entered.
Click anywhere on appropriate locker record to highlight.
Press CTRL down while clicking records to select multiple records at a time.
Click .

OR

Click . This will move all records found in the Find Result column to Selected Items column.

Check to delete an undesired record from Selected Items column, if needed.
Click . This will close the Chooser screen and the locker records selected will be listed in Selected Lockers grid.

Other Info:

The Other Info tab lists a variety of school year specific information such as: bus route, locker number, extended learning program, or vocational program information, custody information, expected graduation year and more.

Tasks

Verify that student’s Name, Perm ID, and Grade appear accurately on tab panel.

Make certain all sections are expanded. Click on right side of each bar.
