Document Definition

General

• In the General area, Description displays the name of the document, as it exists in the Synergy SE application.

• The View Order lists the order of the document as displayed in the list of documents.

• All Document Definition documents will belong to the SpEd Document Group.

• The Special Document Type  categorizes the document into one of the following groups: Eligibility Determination,  Prior Written Notice, Print Only or Print Only Formatted.  *Documents that are not a Special Document Type cannot be modified except by EES Development.

• Title to Appear on Printed Report and Subtitle to Appear on Printed Report can be edited to display a different title and subtitle on documents.

• If Ad Hoc is checked the document will be displayed on the student’s Ad Hoc Docs tab.

• If Outside Process is selected the document can exist in the student’s Process Docs until it is finalized.

• Check Document can be unlocked to allow for editing after a document has been finalized.

• Enabling Copy data to new form allows the GENAZ 06 – MET Report to retain the content for reinsertion for the next re-evaluation.

• Show On Workflow Documents Tab is checked by default. Uncheck this feature to hide the document from everyone and all screens.

Properties

This section defines the form and print format of the document, where the document displays and indicates any special properties.

• Allow Multiple permits the simultaneous existence of more than one version of the document, such as the Ad Hoc Meeting Request or Consultation document.

• View to Edit Document and Report Interface give the form and content to the view and printable versions of the document.

• Doc in PDF Format allows for the addition of documents to Ad Hoc list in a PDF format.

The next four fields allow the data to be saved into the system. Most of the time, they will be very similar, if not identical, to the View to Edit Document and Report Interface descriptions, but care needs to be taken to enter them exactly.

Interface

• Create Namespace and Create Class are used when creating new documents. Do not change existing documents Namespace or Class.

Validation Extract Data

• This area contains specific information that is used when creating new documents. Do not change existing documents Extract Data Namespace or Extract Data Container information.

Validation Roles

• Check specific roles to require their participation in order for validation to occur.

Security Override

• Security Override View and Security Override BO provide the ability to control the View/Update and Add/Delete access to individual SE Documents.

Special Flags

• Special Flags allows for specific changes to be made to all documents of this type, after their creation.

Change Record

• Change Record displays the date(s) of creation and editing of this template.
