Navigate to Synergy
SE>System>Special Education>Document Definition>Document
Definition tab.
For documents not given distinct Security
access via Non PAD, Update, View Only or None access can be conveyed
by assigning a surrogate document in Non PAD that will hold the
Security controls.
EXAMPLE:
A single document within a list needs to be set to View Only access
for a particular User Group, while all the others retail Update access.
The restricted document should be assigned a Security Override
View, where the actual settings will be configured.
NOTE: Edupoint suggests
the selection of a document that is not typically utilized in your
locale, (e.g. CA customers may choose an AZ document, and vice versa)
to allow for assignment of unique settings that will not interfere
with any existing security access. In this particular case,
a KS document will serve as the Override for a VA document.
Setup
Select the desired document from Security
Override View .
In Synergy
SE>Non PAD>NTL>Documents, select the same document
that was chosen in Security Override View.
Select desired settings.
Results
Results will vary by the configuration of
the system in which the document resides.
NTL
Process Docs:
Access: No
The document will continue to display, but
if a User who does not belong to an authorized Group clicks the
Icon, they will receive the following message:
Access: View
Only
If the document is in process, it will display
in its current state, but will be ‘grayed out’, and will not allow
data entry.
If document has not been started, a restricted
User will get the following message:
Ad Hoc Docs:
Setting access to ‘No’ will remove the document
from the Ad Hoc screen.
Example:
CET (as configured previously) is the Override for GENVB10.
Access set to ‘View Only’ will have the
same result as for Process Docs.
CA and FCPS
Regardless of ‘View Only’ or ‘No’ Access,
the document will continue to display, but a restricted User will
receive the appropriate message, either ‘You do not have permission
to view this view’ or ‘Your security level does not allow you
to create/update documents of the selected type’.
All Versions – Historical Docs
The document will display, but a restricted
User will receive message ‘You do not have permission to view
this view’.
NOTE: Error messages may
be reworded locally by locating the message number in System>Setup>Revelation
Message and completing Message
Override.
SECURITY OVERRIDE BO
Security Override BO allows for the restriction
to Delete to be assigned to each document individually. The
best examples of this are Prior Written Notices(PWNs) in the NTL
Version. Customers may have several for specific purposes, but
they are built on a common template.
Example:
GENVB3 and GENVB4 are both PWNs, virtually identical, except for
their stated purpose in text. In Document Definition, a Security
Override BO will be assigned to one of them (in this case, a CA Business
Object that never appears in this VA environment).
Setup
In System>Security>Security
Definition, the controlling Business
Object is selected.
The new Business Object is selected in Document
Definition for GENVB3:
Click ,
and .
Field populates.
Click .
Result
All Users will continue to see ,
but will see differing results if they click it. A restricted
User see the usual confirmation message:
But if they click ‘OK’, they will be stopped
with the following message:
Summary Note:
The settings assigned to a single Non PAD
Document or Security Definition BO can be assigned to any number
of documents in Document Definition, so it may only be necessary
to create one setting each for PAD Security ‘No’ and ‘View Only’,
and one for ‘Delete’.
