Schedule Control

Create/Copy option set will copy the rules and options from the copied option set.
Prescheduled students in sections will remain prescheduled.
Student scheduling results can be copied.
Copy an option set prior to making any changes or processing the scheduler. (Copy existing option set)
Display most recent option set that scheduling team is using at top of Option Sets grid to eliminate confusion.
Copy last year’s schedule for reference in new school year Schedule Control if there is data from last year, even if not using last year’s schedule. (Copy last year’s schedule)
Copy option set with last year’s schedule for update and processing, if planning on working off last year’s schedule. (Copy existing option set)
Do not make changes to converted option set if there is converted data for initial option set. Copy converted option set for reference and use. (Copy existing option set)
Copy option set with converted data for update and processing if planning on working off converted data for new school year scheduling. (Copy existing option set)

Option Set - Options

Option 1. copies sections from Schedule>Section to newly created option set.

1. Copy Last Year’s Schedule

Click . Add New Option Set screen displays.
Name option set with XXX at front to display option set (used for reference only) at bottom of Option Set grid.
Click Schedule Type and select Scheduler or Master Schedule Builder.
Enter a Description of option set (copied from/etc.).
- Click to spell check.
- Click for more space.
Click Copy Option and select Copy last year’s schedule.
Click Year and select last school year.
Check Create Schedule Category Groups to create subject categories for every available department. Note that this is not currently functional. When this option is selected two additional options display. Do Not Create Course Staff Linking and Do Not Create Course Room Linking
Only check these two additional options to remove the assigned teachers and rooms from the existing sections.

NOTE: Sections are not copied.

NOTE: Any year may be selected to copy sections from another school year.

Click . Add New Option Set closes and Job Status screen displays. Message from webpage displays when process complete.
Click . Job Result screen displays.
Click to open Log. Log will indicate data rescreened and processed. This log will indicate all sections that did not copy and were skipped in process, also.
Rescreen sections listed in log that did not copy over thoroughly to determine what sections did not copy and reason. Next step is dependent upon status of data.

Converted Data (new data)

Best practice not to change converted data in original option set. Make changes to copied option set by adding missing sections.
Copy option set with added sections for first working copy option set.

Last Year’s Data (existing data)

Update current year sections with missing data. (Schedule>Section)
Copy last year’s master schedule with updated sections.

Option 2. copies an existing option set from any year.

2. (Scheduler) Copy Existing Option Set

Click . Add New Option Set screen displays.
Name option set.
Click Schedule Type and select Scheduler.
Enter a Description of option set (copied from/etc.).

- Click for more space.
Click Copy Option and select Copy existing Option Set.
Click Year and select last school year.
Click Scheduling Option Set and select option set to copy.
Check to Copy Student Results.

NOTE: Student scheduling results may be cleared in new option set.

Click . Add New Option Set closes and Job Status screen displays. Message from webpage displays when process complete.
Click . Job Result screen displays.

2. (MSB) Copy Existing Master Builder Option Set

Click . Add New Option Set screen displays.
Name option set.
Click Schedule Type and select Master Schedule Builder.
Enter a Description of option set (copied from/etc.).
- Click to spell check.
- Click for more space.
Click Copy Option and select Copy existing Master Builder Option Set.
Click Year and select last school year.
Click Scheduling Option Set and select option set to copy.
Check Copy Student Results, to copy the student schedules that resulted from the existing option set.
Check Create Schedule Category Groups, to create subject categories for every available department.

If Create Schedule Category Groups is checked, two additional options are then available.

Check Do NOT Create Course Staff Linking and/or Do NOT Create Course Room Linking to remove the assigned teachers and rooms from the existing sections in the option set being copied. .

NOTE: Student scheduling results may be cleared in new option set.

Click . Add New Option Set closes and Job Status screen displays. Message from webpage displays when process complete.
Click . Job Result screen displays.

Option 3. creates a blank option set with no schedule sections.

3, Create Blank Option Set

Click . Add New Option Set screen displays.
Name option set.
Click Schedule Type and select Scheduler.
Enter a Description of option set (copied from/etc.).
- Click to spell check.
- Click for more space.
Click Copy Option and select Blank.
Click . Add New Option Set closes and new option set displays at bottom of grid.

Option 4. is for mid-year scheduling purposes, only.

WARNING: Using this option will affect existing course requests. All existing course requests will be removed and replaced with course requests based on student's current schedules. Please verify before adding this new option set.

4. Copy Current Master Schedule

Click . Add New Option Set screen displays.
Name option set.
Click Schedule Type and select Scheduler.
Enter a Description of option set (copied from/etc.).
- Click to spell check.
- Click for more space.
Click Copy Option and select Copy current master schedule.
Click Select Term to Schedule and select.
Click Preschedule Current Student Classes and select student classes that will be considered pre-scheduled. These classes will not reschedule during scheduling process.

Click . Add New Option Set closes and Job Status screen displays. Message from webpage displays when process complete.
Click . Job Result screen displays.
Click to open Log. Log will indicate data rescreened and processed. This log will indicate all sections that did not copy and were skipped in process, also.

Scheduling Option Sets:

Use the Schedule Control screen to create or copy an option set and screen the results of running a schedule with the desired option set.

Unlimited number of scheduling option sets and runs may be maintained and processed.

Option sets are strategies of schedules that have been created and processed against student course requests and selected rules and options.

Trial runs of the schedule option sets may be saved, copied, modified and deleted.

Stats are maintained for each scheduling run.

Sections, rules and options may be different for each option set.

Student schedule requests are constant in all option sets.

Class Board may be opened through Schedule Control.

There are two types of option sets, Scheduler and Master Schedule Builder.

Tasks
