District Groups

• Click A new line displays.

• Enter Code.

• Type Description for group.

• Check Mandatory to add group to all schools.

• Click Season and select when group is active.

• Enter Begin Date or click .and select date for this group, for this school year.

• Enter End Date or click and select date for this group, for this school year.

• Click Group Type and select.

• Click .

• Click line of group to edit.

• Click .

• Check Check Eligibility Requirements to verify eligibility requirements for each student. If this is not checked, none of other information entered is used.

• Enter Age Range of valid ages if student must be a certain age to participate in group,.

• Click Grade Range and select if group is only open to students in certain grades.

• Click Gender and select if group is limited to one gender.

• Check Current Enrollment Required if student is required to be currently enrolled in district to participate in group.

• Check Last Semester Enrollment Required if student must have been enrolled in district previous semester to participate in group.

• Check Retained Students Allowed if students that were not promoted to next grade level are allowed to participate in group,

• Check Residency Required if student’s School of Residence (as listed on Demographics tab of Student screen) must be same as school in which student is enrolled.  School of Residence is determined by values entered into Address Grid Definition.

• Click Transfers Allowed and select whether or not students who have transferred to school from another school are allowed to participate in group. If transfers are not allowed, be sure to select enter codes listed on Miscellaneous tab that are NOT considered transfers.

• Check Health Exam Required for participation in group, if appropriate.

• Enter Health Exam Valid Months number. This determines length of time current exam is valid for participation in this group and overrides number applied to all groups configured on Miscellaneous tab.

• Check Drug Screen Required for participation in group, if appropriate.

• Enter Drug Screen Valid Months number. This determines length of time current screening is valid for participation in this group and overrides number applied to all groups configured on Miscellaneous tab.

• Check Parent Consent Required, Student Contract Required, Insurance Required, Emergency Contact Required, and/or Professional Athlete Allowed if any of these conditions apply to group.

• Enter Max Daily Absences or Max Period Absences ,depending on whether school takes Daily or Period Attendance, that may be accumulated in year.

• Check Student Dispositions to prevent student from eligibility in group if student has outstanding discipline incident disposition. Once disposition is marked completed, student will be eligible for participation in group again.

• Click to set number of discipline incidents that will make student ineligible in Discipline Threshold. A new line displays.

• Enter Threshold Amt.

• Enter Weeks Ineligible to participate in group once threshold amount is reached.

• Enter Events Ineligible if this threshold will make student ineligible to participate in group events.

• Enter Total Fee Amount required for participation in group.

Discounted fees can be set up in Free/Reduced Overrides section if eligible students receive a discount on total fees required,

• Click . A new line displays.

• Select Code .

• Enter Amount total that will be charged to students.

• Click .

To add a list of awards distributed by group

• Click Awards tab.

• Click Letter Type and select award type.

• Click .

• Enter Code for award.

• Type Name of award.

• Enter Description of award.  

• • Click  to spell check.

  • Click   for additional space.

• Click .

• Click . District Group Copy screen displays.  

• Enter Code

• Enter name of group in Description.

• Click Copy From Group and select group requirements to copy

• Edit School Year to copy a group to a different year.

• Click . New group displays in Groups list.
