Year End Status Update

• Click Update Action and select Grad and Year End Status, Graduation Status or Year End Status.

• Click Students To Process and select All to process all students. Select Only Students with No Graduation Date or Only Students with No Graduation Date and No Year End Status if some students have already been manually edited, so as to not override their current status.

• Check Grades To Process.

• Enter Graduation Date (MMDDYY) or click  and select date.

• Click Graduation Requirement and select set of graduation requirements used to evaluate if student has graduated.

• Click Graduation Status and select either Graduated Passing all Requirements or Graduated via GED.

• Check Validate Only to check status of students and not change any data.

• Click Year End Status and select filter.

• Click once all options have been set to run process.

Job Results displays with icons when process is complete.

• Click each icon to see data in file.

Log That Shows Which Students We Updated is most helpful, as it lists every student processed with results of process. If they did not meet graduation requirements, it lists exactly which requirements were missing.

It may be necessary to run this process several times throughout summer. Students may complete graduation requirements through a summer school program or by taking a “make-up” test to meet state testing requirements. Subsequent runs of graduation check should be made with following options so as not to override any existing data.

• Click Update Action select Grad and Year End Status.

• Click Students to Process select Only Students with No Graduation Date,

• Check Grades To Process -12th Grade.

• Enter Graduation Date (MMDDYY) or click  and select date.

• Click Graduation Requirement and select set of graduation requirements used to evaluate if student has graduated.

• Click Graduation Status and select either Graduated Passing all Requirements or Graduated via GED.

• Click Year End Status and select filter.

• Click once all options have been set to run process.

Process students in other grades

• Click Update Action select Year End Status.

• Click Students to Process and select All to process all students, select Only Students with No Graduation Date or Only Students with No Graduation Date and No Year End Status if some students have already been manually edited, so as to not override their current status.

• Check all grade levels except 12 in Grades to Process.

• Click Year End Status   and select P, or Promoted.

• Click to run the process.

Other combinations of selections may be used to address special year end situations. Be sure to map out order that students are processed to minimize manual data entry needed.

After Year End Status Update has been completed, staff may need to manually edit student records to identify any students who will be retained. Students in 12th grade who did not graduate may need to have their year end status manually adjusted. Year End Status is entered on Other Info tab of Student screen.
