Occasionally, a student may be entered into Synergy SIS twice by mistake. When the student’s records are duplicated, use Student Data Merge to merge the records into one.
Select student record to keep in the Student to Keep grid. This should be the record with the most information or oldest enrollment records. To select the student,
Click next to the Student Name in Student to Keep grid. Find Student screen open
Enter all of part of the student’s Last Name, First Name, Middle Name, Perm ID, and/or State Student Number
Click . A list matching the criteria entered is displayed.
Click line number of record with student to keep. Name is highlighted in blue.
Click .
Select student record to remove in Student to Delete grid
Click next to the Student Name in Student to Delete grid. Find Student screen open
Enter all of part of the student’s Last Name, First Name, Middle Name, Perm ID, and/or State Student Number
Click . A list matching the criteria entered is displayed.
Click line number of record with student to delete. Name is highlighted in blue.
Click .
Check Create a report for the Student to Delete and the Student to Keep for each area on the grid. The resulting PDF will be placed on the Student to Keep Documents tab in the Student screen, if desired.
Click to see records from both students.
Students’ records are listed in Data to Merge grid by icons in columns under Student to Keep or Student to Delete.
For each line of information
Click under Action column and select one of three options
Merge information from both students
OR
Keep the information from the Student To Delete record and overwrite the Student To Keep record
OR
Blank box to maintain the record for the Student To Keep
Once all of the actions have been selected
Click to complete the process.
BE SURE everything is set up correctly before clicking Merge, as this cannot be undone.
