Update Student Course History

• Check Process Type.

• Check Process of desired Period and Mark. Note some periods may have more than one term and mark, be sure to select correct option. Unless it is selected, it is not processed.

• Adjust Calendar Month and Year as needed. Values entered here are entered into course history as month and year mark was issued. If they are left blank, ending date of grading period is used.

• Enter School Year and Term for course completion. If Term is blank, term assigned to course is used. If School Year is blank, last 4 digits of current school year are used.

• Click CHS Type and select Course History School Type to be assigned. Once assigned to a course in course history, this value may be used as a filter for other processes such as Transcript or Graduation Requirements.

• Check Transfer Attendance to summarize and transfer student’s attendance in course to course history.

• Click Grade Range Low and Grade Range High and select to process certain grade levels of courses, only. For example, perhaps all 9th grade teachers finished their grading and district would like to process them separately. Grade Range Low and Grade Range High would then be set to 9, and only courses with an assigned grade range of 9 in District Course screen would be processed.

• Check Do not copy course marks for a student whose grade level is outside course grade range to restrict processing to specific student grade levels. If Grade Range is set to 9 and this box is checked, courses for grade 9 be processed and only 9th grade students would be processed. If a 10th grade student was taking a 9th grade course, that course would not be transferred to course history.

Use Masking Options to modify Course ID.

• Click on Masking Options bar.

• Enter Order number for processing.

• Click Match Condition Type . Options are

• • Contains - Applies to any matching characters within Course ID.

  • Ends With - Applies criteria to end of Course ID.

  • Starts With - Match Criteria is applied to beginning of Course ID.

• Enter Match Criteria to match against Course ID. Any number or letter may be entered, along with Wild Card characters. Three different wildcard characters are supported: @ for replacing alpha characters (A-Z), # for numeric character (0-9), and ? for mask characters. For example, to match any ID that starts with 3 letters, Match Criteria would be @@@.

• Check Case Sensitive if criteria are specific for lower case and upper case letters.

• Click Action and select action applied if match is found. Trim removes a specified number of characters from beginning or end of course ID.

• Enter Action Text instructions for how to apply Action. For Trim action, enter number of characters to trim off end of Course ID. A wildcard character is also available for use in Action Text, question mark (?). For example, if mask is set to trim 3 characters off ID, SCI009 would become SCI in course history.

• Click .

NOTE:  As part of Update process, all existing course history that meets criteria selected is deleted from course history before courses are added from Grading records. For example, if Third Quarter with 3rd Qtr marks has been selected, all course history with 3rd Qtr marks for year, is deleted. Marks are then re-added based on Grading records. This ensures that courses are not entered twice into course history.
